Understanding your invoice
Why a final amount can differ from the quote, what each line means and how to read your rental agreement.
The final total may include an approved change or an amount due under the signed agreement. Known items are reviewed at handover; evidence-based items discovered later, such as post-wash damage or an official notice, may be assessed afterwards with an itemised record and dispute route.
Common reasons
- Extra rental days, from an extension or from returning the car later than agreed
- Extras added at the handover, such as an upgrade, GPS or a higher protection plan
- A refuelling charge, if the car came back below the level it left at
- A cleaning charge, if the car needed more than normal preparation
- Damage found at return, up to the excess of your protection plan
- The cross-border fee, if you decided to travel abroad after booking
- A delivery or collection fee, if you changed where the car was handed over
Mileage: your live quote and rental agreement state whether the rate includes a kilometre allowance or unlimited mileage and, where relevant, the price for excess kilometres.
Nothing appears out of nowhere
Your signed agreement controls the permitted charges. Some items, such as damage not visible until cleaning or an official notice received later, may be assessed after handover. ETERNAL provides supporting evidence and an itemised explanation, together with the available dispute route.
Each line shows what it is, how many of them there were, the unit price and the total. Here is what you may see.
Typical lines
- Rental days — the daily rate of your booking multiplied by the number of days
- Extra days — added by an approved extension or late return and priced under the updated confirmation or signed agreement
- Protection plan — your chosen level of cover, charged per day
- Extras — GPS or prepaid fuel, for example; an additional driver and child seats are free
- Cross-border fee — ETERNAL’s contractual approval and administration for permitted travel to Croatia, Serbia or Montenegro
- Delivery or collection fee — where the car was brought to you or collected from you
- Refuelling charge — the missing fuel plus the service fee, if the car came back below its level
- Cleaning — only where the car needed more than normal preparation
- Damage — up to the excess of your protection plan
- VAT — applied to the taxable items above
Where the amounts come from
- Rates, the protection plan and anything booked in advance come from your rental agreement
- Refuelling, cleaning, damage and extra days come from the return inspection or a later documented assessment permitted by the signed agreement
Note: traffic fines are not part of your rental invoice. Normally the authority bills you directly. In the rare case where we had to settle one to stop it escalating, it reaches you as a separate charge, never mixed into your rental total.
Need an invoice for your company?
Tell us the company name, address and tax number and we issue the invoice in the company name. Let us know when you book if you can, so it is ready without a second round of paperwork.
The rental agreement is the contract you sign when you collect the car, and you keep a copy. It holds everything that matters about your rental — the car, the period, the price, your protection plan, the fuel level and any damage the car already had.
What is in it
- Agreement number — the reference to quote whenever you contact us
- Main driver — the person named on the rental, and any additional drivers
- Pick-up and return — the date, time and place for each
- Vehicle — registration plate, model, category, odometer reading and fuel level at pick-up, for example 8/8
- Price — rental days, protection plan and any extras, each with quantity and unit price
- Excess — what you would pay towards damage under your protection plan
- Payment — how the rental was paid and the deposit amount separately reserved or charged on your card
- Countries — where you may drive the car, if cross-border travel was agreed
Damage already on the car
Existing damage is listed with its position, type and size — for example "front bumper, passenger side, scratch 5 to 10 cm". Walk around the car with our agent before you drive off, and if you spot anything that is not on the list, say so there and then so we can add it.
Mileage: check the mileage line carefully. It states whether your rate includes a kilometre allowance or unlimited mileage and, where relevant, the price for each excess kilometre.
Keep it until the end
Keep your copy until the deposit has been released and your invoice looks right. If anything is ever queried, the agreement is what the answer is checked against. Lost it? Get in touch with your reservation number and we will send you another copy.
